NBS streamlines enrollment operations with Integration Manager

The partner

National Benefit Services (NBS), a longstanding player in the benefits administration space, has worked with Alegeus for over a decade. With an increasingly complex client base and mounting pressure on internal resources, NBS needed a solution that would alleviate the heavy technical lift associated with enrollment data processing and integrations. The introduction of Alegeus’ new Integration Manager presented a promising path forward.

The challenge

Prior to Integration Manager, NBS relied on a heavily manual and labor-intensive process to handle employer enrollment data. Much of the work fell to the compliance team. They would receive employer files, massage them in Excel to match Alegeus import formats, and manually upload them — a process that was highly time-consuming.

To improve efficiency, NBS developed its own custom enrollment tool. A full-time developer dedicated several months to building this system, which was capable of managing and converting complex client file formats. Despite this effort, the tool still demanded significant ongoing involvement. Weekly file processing remained labor-intensive, often requiring substantial helpdesk support. Moreover, the tool was inaccessible to non-technical staff due to its lack of a user-friendly interface.

This combination of resource intensity and limited accessibility meant that only a select few, more complex clients justified the time investment required to build custom integrations. For most employers, manual processes persisted. This consumed valuable staff time and restricted the organization’s ability to scale.

The solution

When Alegeus invited NBS to participate in the beta program for Integration Manager, Shawn Crabb, Vice President of Information Systems, readily agreed to join. His prior collaboration with Alegeus on initiatives like WealthCare COBRA had built a strong working relationship and established trust in Alegeus’ approach to product development. Integration Manager was designed to empower business users to build and manage data integrations through a no-code, user-friendly interface. And NBS was hungry for just such a solution.

Key benefits of Integration Manager include:

  • Simplified mapping of employer file formats to EDI records
  • Automated translation and processing
  • Intuitive UI and controls
  • Detailed processing feedback

Shawn’s participation in the beta program involved periodic meetings and regular feedback, all of which contributed to refining the product design.

Early results and impact

Integration Manager is showing strong potential to save several hours per week across helpdesk and technical teams once the solution is fully in production:

  • Operational efficiency: Shawn anticipates that as integrations go live, the automation will significantly reduce time spent ingesting data.
  • Error prevention: Automation and consistency are designed to reduce the possibility of human error.
  • Scalability: The compliance team will be able to manage and build integrations, freeing up developer resources for other priorities.

The interface’s intuitive design will allow even less-technical staff to create and manage integrations with minimal training. Having searchable fields and guided workflows will help users correctly map data without needing to understand EDI structure in depth.

Looking ahead

Shawn sees vast potential for Integration Manager to transform operations at NBS:

  • Hundreds of integrations could eventually be created using the platform.
  • Faster onboarding of new employers, particularly when templates are provided.
  • Prebuilt integrations with platforms like Employee Navigator and Allsynx could become selling points for brokers and clients.
  • Future features like automated plan setup could reduce implementation time even further.

Conclusion

NBS’s early experience with Integration Manager highlights the product’s transformative potential. With the platform now in general availability, it’s positioned to deliver measurable impact by reducing reliance on development resources, streamlining processes, and improving data integrity as integrations move into production. Additional capabilities are planned to further expand its value in the near future.

As adoption grows, so will the savings in time and cost, making Integration Manager not just a technical upgrade but a strategic enabler of scalable, streamlined growth for NBS.
